About the position

The Executive Assistant to the General Manager at Omni Barton Creek Resort & Spa plays a crucial role in supporting the Area Managing Director and Resort Manager by handling various administrative duties. This position is essential for maintaining the high standards of service and operational efficiency at the resort, ensuring that all tasks are executed with attention to detail and confidentiality. The role involves managing travel arrangements, coordinating schedules, and facilitating guest relations, all while embodying the company's culture of respect and teamwork.

Responsibilities

  • Act as assistant to the Area Managing Director and support to Resort Manager.
  • Handle all travel arrangements and agenda coordination for AMD trips.
  • Manage expense reports for AMD trips.
  • Perform extensive administrative duties including communication and distribution of reports to corporate office.
  • Handle VIP's, corporate visits, and ownership visits including booking transportation and reservations.
  • Create and modify reservations in Opera as directed by the AMD or Executive Office.
  • Facilitate and book spa, golf, dinner, and cabana reservations as directed by AMD.
  • Send amenities and welcome cards to VIP's and special guests as directed by the AMD.
  • Daily check deposit of accounts receivables and distribution of mail.
  • Manage Outlook calendar schedules and appointments for the AMD.
  • Obtain signatures of approval for routing of check requests and other correspondence.
  • Manage day-to-day guest, member, and corporate guest relations as needed.
  • Maintain Gift Certificate Log and assist in management of ‘trades'.
  • Manage all donation requests with approval through the AMD.
  • Assist with management of Cultural Reward Program.
  • Manage Monthly Leadership meeting details including deck creation and oversight.
  • Create Exec Spreadsheets and read financial reports as needed.
  • Participate in associate events and activities' committees.

Requirements

  • Relevant administrative experience in hospitality and/or customer service.
  • High school diploma required; college degree preferred.
  • High level of attention to detail and ability to multitask.
  • Ability to maintain a high degree of confidentiality.
  • Strong written and verbal communication skills.
  • High level of computer proficiency, specifically with Microsoft Office (Excel, Windows, Outlook, PowerPoint, Publisher).
  • Knowledge of Opera, Delphi, Synergy, Medallia, OneStream preferred.
  • Ability to work in a fast-paced, high-pressure environment.
  • Highly motivated self-starter focused on quality, organization, integrity, guest service, and teamwork.
