About the position

The Executive Assistant will provide dedicated 1:1 support to the Global Head of Corporate Affairs and ESG at a leading investment firm. This role is crucial for managing the executive's time effectively, coordinating travel, and ensuring smooth administrative operations within the division.

Responsibilities

  • Coordinating and managing complex calendars, scheduling meetings, and prioritizing conflicting demands.
  • Preparing agendas, materials, and presentations for meetings.
  • Arranging all aspects of domestic and international travel, creating detailed itineraries, and providing support throughout the traveler's trip.
  • Providing general administrative support, including screening phone calls and drafting correspondence.
  • Building and maintaining positive relationships with clients, partners, and colleagues on behalf of the Executive.
  • Processing and tracking expense reports in accordance with T&E policy best practices.
  • Providing administrative back-up to the EA team as needed.

Requirements

  • 7-15 years of Executive Assistant experience, preferably in financial services.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Ability to manage sensitive and confidential information with discretion.
  • Advanced proficiency in Microsoft Office Suite.
  • Experience with Concur is a plus.
  • Excellent written and verbal communication skills, able to interact confidently and professionally with all levels of personnel.
  • Experience with domestic and international travel planning.
  • Ability to take initiative and exercise judgment in complex situations.
  • Ability to work independently with minimal supervision and as part of a team.
