About the position

The Executive Assistant to the HR Director plays a crucial role in supporting the HR Director with day-to-day organizational and executive tasks in a fast-paced workplace. This position requires exceptional organizational skills, attention to detail, and strong communication abilities. The ideal candidate will have a background in Human Resources or related tasks, be tech-savvy, and possess a growth mindset, thriving in a dynamic environment with opportunities for professional development.

Responsibilities

  • Coordinate scheduling and calendar management
  • Filter, sort, and respond to emails
  • Draft, review, edit, and send company communications
  • Assist in organization and execution of department goals
  • Liaison between director and department staff
  • Be 'eyes and ears' in office to observe and relay potential concerns
  • Pull reports and analyze employee data
  • Monitor and audit data, systems, and spreadsheets for quality control
  • Update, edit, create, and/or improve company documents (forms, handbook, policies)
  • Plan and organize meetings/events
  • Prepare and deliver presentations
  • Interview candidates for company positions
  • Facilitate new hire onboarding such as paperwork and online trainings
  • Join corporate meetings and take notes to relay to Director
  • Assist with acquisitions
  • Assist with HR investigations
  • Assist with disciplinary action and termination or other difficult conversations
  • Learn and listen to directives and train in various areas of HR within different entities
  • Maintain professionalism and strict confidentiality of information related to the company, its employees, and leadership
  • Assist with research including compliance, competitors, industry norms, forms, policies, etc.
  • Look for areas of growth, improvement, and efficiency
  • Perform administrative duties such as mailings, office organization, scanning, etc.
  • Other duties and special projects as assigned

Requirements

  • Bachelor's Degree or equivalent experience
  • 3-5+ years of previous executive assistant experience and/or HR experience or HR related tasks on a corporate level
  • Strong communication and writing skills, experience with business writing preferred
  • Exceptional attention to detail and organization
  • Tech savvy
  • Able to travel as needed
  • Strong work ethic
  • Comfortable and experienced with presentations (preferred)
  • Solid Microsoft Office Suite Skills
  • Able to pass a drug test and criminal and motor vehicle background checks
