About the position

The Executive Assistant to the Import Manager is responsible for managing administrative tasks, enhancing communication, and streamlining processes to support the import operations effectively. This role requires a detail-oriented and proactive individual capable of multitasking in a fast-paced environment.

Responsibilities

  • Provide comprehensive administrative support to the Import Manager, including managing calendars and scheduling meetings.
  • Prepare and organize import documentation, reports, and presentations.
  • Liaise with suppliers, freight forwarders, and customs officials to ensure timely and accurate shipments.
  • Monitor and track import shipments, addressing any issues or delays as they arise.
  • Assist in analyzing import data and preparing reports for management review.
  • Maintain an organized filing system and ensure compliance with import regulations.
  • Support special projects and initiatives as directed by the Import Manager.

Requirements

  • Minimum of [X] years of experience as an Executive Assistant, preferably in logistics or import/export.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant import management software.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.

  • Familiarity with import regulations and processes is a plus.
