About the position

The Executive Assistant to Justice-Elect Megan Shanahan plays a crucial role in supporting the Justice by managing administrative tasks, scheduling, and communication. This position requires a high level of organization and the ability to handle sensitive information while ensuring the smooth operation of the Justice's office.

Responsibilities

  • Prepare all necessary information for conferences and ensure distribution to justices.
  • Maintain conference calendar and follow-up activities resulting from conferences.
  • Schedule meetings, appointments, and travel arrangements, including expense report information.
  • Prepare a variety of documents, including correspondence, forms, confidential memoranda, meeting minutes, and reports.
  • Proofread material for correct grammar, punctuation, format, and accuracy of content.
  • Develop, manage, and maintain a filing system; create and maintain files, reports, and spreadsheets as necessary.
  • Serve as the receptionist for the Justice, answering telephones and routing inquiries.
  • Maintain office equipment and order office supplies.
  • Direct requests from the Justice to appropriate staff as needed.
  • Work with offices throughout the Court regarding events involving the Justice.
  • Schedule CLE classes and submit to Attorney Registration for CLE credit.

Requirements

  • At least six years of progressive experience in an administrative role supporting director level or higher position.
  • Bachelor's degree preferred.
  • Paralegal experience is a plus.
  • Experience in a legal environment and knowledge of the state judicial system and state government practices is preferred.
  • Strong organizational and administrative skills.
  • Superb communication and interpersonal skills.
  • Ability to work independently and handle multiple complex projects.
  • Strong proofreading, composition, and editing skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
