About the position

Our client, a global asset management firm, is seeking an Executive Assistant to support the Legal/Compliance team in their NYC office. This position is crucial for ensuring the smooth operation of the team and requires a highly organized and proactive individual. The Executive Assistant will work closely with a Partner and the broader team, providing senior-level assistance that includes complex meeting scheduling, travel arrangements, and event planning. The role is hybrid, with the expectation of being in the office four days a week and one day remote, although there is flexibility to work five days in the office if needed. The Executive Assistant will be responsible for managing schedules in Outlook, answering phones, and monitoring email correspondence. This role also involves project management for special events and assisting in the production of departmental reports, presentations, and general documents. A key part of the job will be sorting through and reviewing sell-side research received, ensuring that relevant research is distributed to analysts in a timely manner. The ideal candidate will thrive in a fast-paced environment and be able to balance multiple priorities effectively. This position offers a competitive salary range of $100,000 to $120,000 per year, depending on experience, along with a bonus structure. Responsibilities

  • Provide senior level assistance to a Partner and the broader team
  • Execute complex meeting scheduling, book travel, handle mail, maintain files, and plan events
  • Manage schedules in Outlook, answer phones, and monitor email correspondence
  • Project manage special events as required
  • Assist in the production of departmental reports, presentations, and general documents
  • Sort through and review sell-side research received and ensure relevant research is distributed to analysts

Requirements

  • 4-5+ years of administrative experience in finance supporting a team
  • Diplomatic and responsive professional capable of handling confidential information with discretion
  • Proficient in Word, Excel, PowerPoint, Outlook
  • Ability to balance multiple priorities in a fast paced environment
