About the position

The Executive Assistant to the President/CEO at the Buffalo Zoo is responsible for providing comprehensive administrative support to the President/CEO, Board of Directors, and the executive leadership team. This role serves as the primary point of contact for internal and external stakeholders, coordinating executive outreach, managing the President/CEO's calendar, and overseeing special projects. The ideal candidate is proactive, detail-oriented, and capable of handling sensitive information with discretion, while also being able to work independently and under pressure.

Responsibilities

  • Provide direct administrative support to the President/CEO, including managing the calendar and scheduling meetings.
  • Organize logistics for meetings and events, including room reservations and agenda preparation.
  • Prepare, proofread, and edit communications such as letters, reports, and presentations.
  • Act as a liaison between the President/CEO and internal/external stakeholders.
  • Assist with the AZA Accreditation application process and coordinate special projects as directed.
  • Provide administrative support to the Board of Directors, including scheduling meetings and recording minutes.
  • Handle incoming communications for the President/CEO, including phone calls and emails.
  • Organize and maintain the President/CEO's office, including filing systems and inventory management.
  • Assist with donor events and fundraising activities as needed.

Requirements

  • Minimum of 2-4 years of experience in executive support/administration, preferably in a nonprofit environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism in handling confidential information.
  • Extremely proficient with Microsoft Office Suite and Adobe Acrobat.

Nice-to-haves

  • Associate or Bachelor's degree in Business Administration or related field.
  • Experience working with a CRM.
  • Experience working for a C-suite level executive.
