About the position

The Executive Assistant to the President at Baylor Scott & White Health is responsible for managing the day-to-day office operations of the President of the Irving hospital campus. This role involves providing comprehensive administrative support, managing schedules, and ensuring effective communication within the office.

Responsibilities

  • Effectively manages the President's calendar, scheduling appointments and arranging travel itineraries.
  • Answers and screens phone calls, responding or routing calls as appropriate.
  • Sorts, opens, and distributes mail daily, composing responses to routine correspondence as needed.
  • Exercises initiative and judgment in responding to customer problems or complaints in the absence of management.
  • Coordinates schedules for meetings and events, notifying participants and verifying attendance.
  • Arranges all necessary logistics for events to ensure seamless progress.
  • Takes and transcribes dictation, preparing confidential correspondence and complex documents accurately and timely.
  • Compiles and completes reports, statistical data, and charts, reviewing them for appropriate action or referral to management.
  • Maintains a variety of confidential files in accordance with established policies.
  • Ensures supply levels are maintained and orders are placed accordingly.

Requirements

  • Five to seven years in an administrative help/executive secretarial position required.
  • Proficient in Microsoft Office Suite.
  • Excellent communication, organizational, and multitasking skills required.
