About the position

Join our investment banking client's collaborative team as an Executive Assistant to provide high-level professional support and ensure the success of their San Francisco office. This role will encompass a variety of administrative tasks, including managing calendars, arranging travel, preparing documents, compiling expense reports, updating CRM databases, coordinating meetings and events, and maintaining professional relationships. Responsibilities

  • Manage calendars and coordinate virtual meetings.
  • Arrange domestic and international travel plans.
  • Prepare and edit diverse documents using office software.
  • Handle expense reports and financial reconciliations.
  • Coordinate meetings, events, and contract negotiations.
  • Undertake additional ad-hoc projects, as needed.

Requirements

  • 3+ years of experience as an Executive Assistant supporting a team, preferably in financial services or management consulting.
  • Proficient in Microsoft Office Suite (including Teams), Concur, Zoom, and quick to learn new technologies.
  • Excellent written and verbal communication skills, including the ability to handle confidential information with discretion.
  • Strong organizational and time management skills with a proven ability to manage multiple tasks and projects simultaneously.
