About the position

The Executive Assistant to the Associate General Minister (AGM) at Love of Neighbor provides high-level administrative support, ensuring the efficient operation of the AGM's office. This role involves managing schedules, coordinating meetings, and overseeing various administrative functions to facilitate the AGM's responsibilities effectively.

Responsibilities

  • Initiates and manages effective systems and processes for the AGM's office.
  • Completes a variety of administrative tasks including taking minutes, managing calendars, and preparing correspondence.
  • Prioritizes competing needs and follows through on projects to successful completion.
  • Follows up on sensitive matters addressed to the AGM.
  • Plans and coordinates the AGM's schedule and ensures it is respected.
  • Maintains records of the AGM's credit card charges for accurate entry into the Concur system.
  • Oversees preparation and distribution of materials for Common Global Ministries Board meetings.
  • Determines logistical requirements for staff meetings and makes travel arrangements for participants.
  • Ensures timely distribution of meeting arrangements to participants.
  • Supports the Leadership Forum with meeting logistics and minutes.
  • Serves as lead person to Program Assistants to support workflow.
  • Partners with fellow Executive Assistants to maintain office supplies and process special orders.
  • Manages production of the monthly staff travel calendar.
  • Works with Hospitality Ministries to plan and prepare for meetings and events, providing on-site assistance as needed.
  • Manages special projects for the AGM.
  • Facilitates engagement with technology infrastructure and social media strategies.
  • Coordinates all communication to the AGM.
  • Acts as liaison for the AGM with staff and maintains good working relationships.
  • Processes requests for documents housed in the Houghton Library.
  • Serves as editor for information included in Yearbook and other publications.
  • Maintains and shares an up-to-date bio and headshot for the AGM.

Requirements

  • Bachelor's degree in a related field or equivalent experience.
  • Five or more years' experience supporting C-level executives, preferably in a non-profit or faith-based organization.
  • Ability to manage multiple priorities and diverse personalities.
  • Desire to work in diverse racial, ethnic, cultural, and religious settings.
  • Professional demeanor, strong judgment, and interpersonal skills.
  • Exceptional internal and external customer service skills.
  • Experience in planning and supporting meetings.
  • Well-organized and self-directed with exceptional time management skills.
  • Ability to work collaboratively and independently, exercising initiative.
  • Positive attitude with the ability to handle various issues with tact.
  • Demonstrated ability to achieve high performance goals and meet deadlines.
  • Proactive problem-solving and strong decision-making capability.
  • Demonstrated written and oral English language skills.
  • Proficiency in Microsoft Office and Adobe Acrobat; familiarity with social media and cloud-based corporate board portals.
