About the position

The Executive Assistant to the Assistant Superintendent at Attleboro Public Schools is responsible for managing and coordinating the daily administrative tasks within the office. This role requires a high level of professionalism, confidentiality, and the ability to work under pressure while supporting the Assistant Superintendent in various clerical and organizational duties.

Responsibilities

  • Assist the Assistant Superintendent with administrative matters.
  • Prepare routine administrative paperwork.
  • Provide information in accordance with established procedures and policies.
  • Serve as a liaison between the Assistant Superintendent and various stakeholders.
  • Develop a welcoming atmosphere for the public in the Assistant Superintendent's Office.
  • Screen telephone calls and conduct initial screenings with students, teachers, and parents.
  • Manage grants including purchase orders and staff time sheets.
  • Compose effective correspondence and review material prepared by others.
  • Prepare confidential Title IX Grievance correspondence and maintain records.
  • Assist in the coordination of the Educator Mentoring and Induction program.
  • Enter, monitor, and prepare reports for Professional Development.
  • Assist with communicating professional development opportunities to staff.
  • Collect relevant information for collective bargaining.
  • Provide clerical support among staff and committees.
  • Process documentation for District field trips.
  • Coordinate home school processes and maintain records for home school students.
  • Manage scheduling of interpreting and translation services.
  • Oversee purchasing of curriculum programs and materials.
  • Assist in managing general education summer programming.
  • Coordinate grant data and compile necessary reports.
  • Organize events, retreats, and large group meetings.
  • Develop techniques for accurate data collection.
  • Implement procedures for secure data handling and sharing.
  • Revise district-wide documents.
  • Attend meetings as required.
  • Perform other duties and ad hoc projects as assigned.

Requirements

  • Minimum of three years of office experience, preferably in a public school.
  • Thorough knowledge of technology and software applications.
  • Proficiency in Microsoft Office (Word, Access, Excel, PowerPoint) and Google Suite.
  • Experience with Aspen, Power School Modules, and Munis is preferred.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize and multi-task effectively.
  • Ability to understand complex written and oral instructions.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.
