About the position

The Executive Assistant to the ASVP, Human Resources, Training and Development at Napa Valley College provides advanced administrative support to the Assistant Superintendent/Vice President. This role involves a high degree of independence in planning, organizing, and coordinating operations within the office, while ensuring confidentiality and accuracy in all tasks. The position is essential for maintaining efficient office functions and supporting the college's mission to provide quality programs and services to the community and students.

Responsibilities

  • Assists in the preparation of bargaining documents to ensure accuracy and confidentiality in support of negotiations.
  • Communicates with internal and external entities to provide information and assistance in a timely manner.
  • Compiles data from various sources to prepare reports and maintain operations according to administrative guidelines.
  • Composes and prepares correspondence and materials independently for various stakeholders.
  • Maintains a variety of manual and electronic documents and records to provide up-to-date information.
  • Monitors account balances and related financial activity to ensure compliance with financial practices.
  • Participates in meetings, training, and workshops to convey and gather information required for job functions.
  • Performs complex administrative duties to ensure efficient operations of department functions.
  • Handles highly complex, technical, and confidential tasks for the Vice President and other Executive Administrators.
  • Researches a variety of topics to provide information and recommendations based on policies and guidelines.
  • Responds to inquiries from various sources to provide information or direction according to policy.
  • Schedules a variety of activities for the assigned administrator, including appointments and travel arrangements.
  • Serves as the initial contact for complaints related to discrimination and sexual harassment, assisting in their resolution.
  • Acts as the point of contact for the department, conveying information regarding employment procedures.
  • Supports the preparation of board action items to ensure transparency of personnel actions.
  • Trains temporary employees and student workers to ensure clerical functions are performed within guidelines.

Requirements

  • Demonstrated administrative skills with the ability to perform multiple technical tasks.
  • Knowledge of accounting/bookkeeping principles and modern office practices.
  • Ability to communicate effectively and professionally in writing and verbally.
  • Proficiency in operating standard office equipment and relevant software applications.
  • Ability to maintain accurate records and follow oral directions.
