About the position

The Executive Assistant to the Bishop at The Mississippi Annual Conference of The United Methodist Church provides high-level administrative support to the Resident Bishop. This role involves collaboration with internal and external partners for scheduling, meeting coordination, and travel arrangements, ensuring effective communication and organization within the Episcopal Office.

Responsibilities

  • Perform administrative duties including maintaining files, calendars, arranging meetings, and making travel arrangements.
  • Compose and coordinate correspondence for the Bishop and Episcopal Office staff as needed.
  • Assist in managing Episcopal Office finances including Bishop's reimbursements and office transactions.
  • Coordinate Cabinet meetings, including developing agendas and maintaining a calendar of events.
  • Provide administrative support for the appointment process, ensuring transfer of information and updating databases.
  • Manage hospitality needs for the Episcopal Office, including greeting visitors and arranging catering.
  • Assist in preparation and organization of the Annual Conference, including logistics and accommodations.
  • Create appointment lists and certificates for the Annual Conference, and track follow-up items during plenary sessions.
  • Operate and maintain databases in systems such as Brick River and Basecamp.
  • Perform other duties as assigned by the bishop.

Requirements

  • Bachelor's Degree required.
  • 3 - 5 years' experience performing administrative duties is required; executive experience is preferred.
  • High level of proficiency with MS Office products including Outlook, Word, Excel, PowerPoint, and Publisher.
  • Proficiency in using databases, including BrickRiver, is strongly desired.
  • Knowledge of general management principles and organizational policies and procedures.
  • Excellent organizational skills and strong written and verbal communication skills.
  • Proficiency with grammar, spelling, and punctuation.
  • Knowledge of basic arithmetic for calculations and reconciliations.
  • Proven interpersonal and leadership skills.
  • Knowledge of the structure and polity of The United Methodist Church is strongly desired.
  • Ability to maintain strict confidentiality.

Nice-to-haves

  • Experience in a Christian organization, ideally within the United Methodist denomination.
  • Familiarity with video conferencing software such as Zoom and Webex.
