About the position

In this role as an Executive Assistant, you will provide comprehensive administrative support to Olin's President and CEO and the President of Chlor Alkali Products & Vinyls. This position requires a strong background in executive support, excellent organizational and time management skills, attention to detail, a high level of professionalism, and the ability to think critically, anticipate needs, and maintain confidentiality. You will be responsible for managing calendars, scheduling meetings, appointments, and travel arrangements, while exercising discretion in committing time and evaluating needs. As a gatekeeper, you will screen and prioritize incoming communications and requests, coordinating communication with board members, external stakeholders, and internal leaders to ensure timely responses and follow-ups. You will also coordinate logistics for meetings and events, including room setup, meal arrangements, agenda preparation, minute-taking, and follow-up on action items. Your role will involve preparing purchase requisitions, travel arrangements, and expense reports, consolidating and preparing information and presentations with great attention to detail. Maintaining professionalism and handling confidential and sensitive information with unwavering discretion is crucial. You will work closely with other Executive and Administrative Assistants to coordinate calendars with executives and team members from other departments, assist with meeting arrangements, and answer inquiries. Occasionally, you may help cover vacations and other days off for other assistants. Additionally, you will provide administrative support to the office, including collecting and distributing incoming mail, preparing and mailing outgoing packages, and ordering and maintaining supplies as needed.

Responsibilities

Requirements

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Minimum of 5 years of experience supporting C-level executives; experience supporting a CEO is preferred.
  • Demonstrated proficiency with Microsoft Office Suite; knowledge of SAP purchase requisition processing preferred.
  • Must possess and demonstrate a high degree of professional maturity.
  • Ability to work with and maintain the confidentiality of highly sensitive information.
  • Self-starter who can work independently and effectively prioritize and manage workload in a fast-paced environment.
  • Exceptional follow-through, detail-oriented, and able to multi-task effectively.
  • Strong organizational, written, and oral communication skills.
