The Executive Assistant to the CEO and Governance Manager performs executive administrative support duties and special projects at the direction of the CEO and Chief Operating Officer (COO). This position maintains calendars and travel schedules, coordinates participation in local, state and national organizations, and acts as a communication liaison for the CEO and COO with constituents and as a liaison with governing bodies. This role also manages the administrative tasks associated with governance, including, but not limited to, ensuring regulatory compliance and recordkeeping of the governing boards. In this role, you will provide executive administrative support to assigned executive leaders, manage calendars including maintaining leaders schedules, setting/accepting appointments on their behalf, and providing daily/weekly updates. You will maintain communication and contact with constituents of the CEO and COO (donors, patients, family, community leaders, health leaders) on behalf of the executive during their absence and as needed. You will screen, prioritize, and communicate responses on behalf of the CEO and COO; act as gatekeeper to clear calendars to respond to high-priority issues; and act as liaison for the CEO and COO with strategic partners, donors, patients and families, employees, and Board members with potentially urgent issues. Additionally, you will compile information for and create the Strategic Plan, Annual Operating Plan, and quarterly results for Agrace and Foundation entities, oversee the administrative budget, and manage donor interactions for the CEO. You will prepare documents, reports, presentations, etc. as needed, attend meetings as requested and prepare agendas, materials, minutes, etc. You will review and process expense and credit card reports for approval, provide executive support to boards and committees, and coordinate all aspects of board and committee meetings, including scheduling, development of agendas and presentations, compiling and distributing materials, and taking minutes, etc., in compliance with board and committee expectations. You will facilitate communications from and between board and committee members and act as liaison between Agrace staff and board and committee members. You will track and monitor progress on action items, initiating requests for follow up as needed, coordinate new board member applications, selection, and orientation, and ensure board policies and other governing documents are reviewed and updated as required. Finally, you will manage the proper recordkeeping for board and committee documents and records, oversee assigned administrative functions, and provide backup support and assistance to other Executive Assistants as needed.

Requirements

  • Bachelor's degree in business or related field.
  • At least five years of relevant professional experience.
  • 3 years experience in a corporate governance role.
  • Valid driver's license, auto insurance, and access to a reliable vehicle.
  • Advanced skills in Microsoft Office Suite, including complex calendaring and presentation development.
  • Ability to work effectively and cooperatively with others.
  • Experience using industry specific software and analyzing and reporting data.
  • Ability to communicate effectively verbally and in writing.
  • Ability to be flexible in time and task to meet organizational needs.
  • Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property.
