About the position

The Executive Assistant to the CEO plays a crucial role in supporting the President and Chief Executive Officer of United Way of Delaware, as well as other members of the Executive Team. This position involves managing complex administrative tasks, facilitating communication, and ensuring the smooth operation of the executive office. The role requires a high level of discretion, excellent organizational skills, and the ability to interact with various stakeholders, including the board of directors, while upholding the mission and values of the organization.

Responsibilities

  • Manage complex calendars and arrange meetings, appointments, and travel for the CEO and Executive Team.
  • Maintain appropriate records and manage expense reports for the President and CEO and direct reports.
  • Create and maintain filing systems (both electronic and physical).
  • Coordinate events, including summits and meetings, with respective staff leads.
  • Provide sophisticated calendar management for the CEO, prioritizing inquiries and requests while troubleshooting conflicts.
  • Act as a liaison and provide support to the Board of Directors, including arranging logistics for Board meetings.
  • Assist with special projects, prepare documents and presentations, and maintain contact lists.
  • Serve as the primary administrative contact for the CEO and other key senior staff.
  • Review and assess correspondence to the Executive Office, ensuring follow-up on action steps.
  • Provide a wide range of administrative support, including answering phones and scheduling meetings.

Requirements

  • College degree preferred.
  • Excellent time management and ability to meet deadlines.
  • Strong verbal and written communication skills.
  • Proficient in MS Office, including Word, Excel, and PowerPoint.
  • Ability to thrive in a community-focused environment and work well with diverse teams.
  • Strong organizational skills and ability to multitask.
  • Proactive and self-directed with problem-solving abilities.
