About the position

The Executive Assistant to the CEO at Cornerstone Research Group, Inc. plays a crucial role in providing executive support in a one-on-one working relationship with the CEO. This position serves as the primary point of contact for both internal and external stakeholders regarding all matters related to the Office of the CEO. The Executive Assistant is responsible for liaising with investors and senior management teams, organizing and coordinating executive outreach and external relations efforts, and overseeing special projects. The ideal candidate will thrive in a fast-paced, entrepreneurial environment that is mission-driven and results-oriented, demonstrating creativity and strong organizational skills. In this role, the Executive Assistant will manage a wide range of administrative tasks for the CEO, including maintaining an active calendar of appointments, preparing expense reports, composing confidential correspondence, and arranging complex travel plans. The Executive Assistant will ensure that the CEO's schedule is respected and will act as a gatekeeper to facilitate direct access to the CEO's time and office. This position requires the ability to prioritize and follow up on incoming issues and concerns, often of a sensitive nature, and to determine the appropriate course of action. The Executive Assistant will also provide leadership in building relationships that are crucial to the organization's success and will manage various special projects that may have organizational impact. This includes supporting the development and improvement of office procedures and training other Executive Associates. The role may require support outside of standard business hours, especially in business emergencies, and will involve completing personal tasks for the CEO with discretion and confidentiality. The Executive Assistant will participate as an adjunct member of the Executive Team, assisting in scheduling meetings and coordinating agendas for senior management meetings and all-staff meetings.

Responsibilities

  • Manage the CEO's calendar of appointments and ensure it is respected.
  • Complete expense reports and prepare confidential correspondence.
  • Arrange complex travel plans and compile documents for travel-related meetings.
  • Act as a gatekeeper for the CEO's time and office, creating win-win situations for access.
  • Research, prioritize, and follow up on incoming issues addressed to the CEO.
  • Facilitate smooth communication between the CEO's office and internal departments.
  • Keep the CEO informed of upcoming commitments and responsibilities.
  • Manage special projects for the CEO that may have organizational impact.
  • Support the development and improvement of office procedures.
  • Train other Executive Associates to enhance effectiveness within the organization.
  • Provide support to the CEO outside standard business hours as needed.
  • Participate in senior management meetings and assist in coordinating agendas.
  • Create internal presentations using PowerPoint for the CEO.
  • Conduct research and compile data for presentations by the CEO.

Requirements

  • Exclusive U.S. citizenship is required.
  • Ability to obtain and maintain a SECRET security clearance is required.
  • Strong organizational skills with attention to detail.
  • Very strong interpersonal skills to build relationships with stakeholders.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive problem-solving and decision-making capabilities.
  • Highly resourceful team player with the ability to work independently.
  • Proven ability to handle confidential information with discretion.
  • Demonstrated ability to achieve high performance goals and meet deadlines.
  • Bachelor's degree is required.
  • Five to ten years of experience supporting C-level Executives, preferably in a for-profit business.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms.
