About the position

The Executive Assistant to the President/CEO will be expected to work side by side with the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This role is part-time, expected to work anywhere between 10 - 25 hours per week, depending on the CEO's needs. The position requires a flexible schedule and accessibility, as the individual may be required to work weekends in addition to the standard workweek.

Responsibilities

  • Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as a gatekeeper for the CEO, filtering and managing emails, phone calls, and other forms of communication.
  • Handle administrative tasks such as drafting correspondence, preparing reports, and maintaining documents.
  • Assist in preparing materials, agendas, and briefs for meetings the CEO attends or leads.
  • Organize travel plans, including flights, accommodation, and transportation for the CEO's business trips.
  • Plan and coordinate company events, conferences, or other special occasions involving the CEO.
  • Organize and maintain confidential information, files, and records related to the CEO's work.
  • Conduct research and provide background information to assist the CEO in making informed decisions.
  • Act as a liaison between the CEO and other employees, stakeholders, clients, and external partners.
  • Assist in managing special projects or initiatives that the CEO is overseeing.
  • Handle expense reports, reimbursements, and budget tracking for the CEO.
  • Address various issues and challenges that arise in the course of the CEO's work.
  • Maintain a high level of confidentiality regarding sensitive information.

Requirements

  • Bachelor's degree preferred; five to ten years related experience and/or training; or equivalent combination of education and experience.
  • Experience handling non-profit corporation governance is desired, but not required.
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to write speeches and articles for publication that conform to prescribed style and format.
  • Ability to effectively present information to top management, public groups, and/or boards of directors.
  • Bilingual English/Spanish is a plus.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Advanced proficiency in Microsoft Office (PowerPoint, Visio, Outlook, Microsoft Project, Excel, and Word), Adobe Acrobat, and social media web platforms.

  • Experience in logistics or supply chain management.
  • Familiarity with Clean Truck Program initiatives.
