About the position

On-Target Supplies & Logistics, Ltd. is seeking an Executive Assistant to the CEO who will serve as the administrative and functional point person for the President & CEO's business, community, and personal matters. This role is crucial in ensuring the smooth functioning of activities and processes across multiple business units. The Executive Assistant will be expected to maintain full-time availability with flexible hours, including some nights and weekends, and will work on-site in Dallas, TX. The position offers an opportunity to learn about all aspects of the business operations while developing positive and strategic relationships at all levels of the organization. The ideal candidate will utilize discretion, sound judgment, and knowledge of the organization to facilitate the President & CEO's activities while maintaining confidentiality. The Executive Assistant will be responsible for strategically coordinating and maintaining the President & CEO's schedule, prioritizing and managing complex meeting arrangements, and organizing both business and personal files. The role includes preparing the CEO for meetings by ensuring he has all necessary materials and information, coordinating travel needs, and assisting with communications, including managing correspondence and phone calls on his behalf. The Executive Assistant will also prepare court documents and reports in support of business unit activities, maintain key organizational materials, and handle a wide range of administrative tasks while independently managing projects and information. This position reports directly to the President & CEO and may also provide support for company Board meetings as needed.

Responsibilities

  • Serve as the administrative and functional point person for the President & CEO's business, community, and personal matters.
  • Strategically coordinate and maintain the President & CEO's schedule, prioritizing and managing complex meeting arrangements.
  • Organize and maintain the President & CEO's business and personal files.
  • Prepare the President & CEO for meetings by ensuring he has all necessary materials and information.
  • Coordinate end-to-end travel needs, including booking travel and hotels, directions, commuting time, and ground transportation.
  • Assist with communications, including managing correspondence and phone calls on behalf of the President & CEO.
  • Prepare court documents and reports in support of business unit activities.
  • Maintain and keep current key organizational materials, including board/customer/employee lists and manuals.
  • Handle a wide range of administrative and support tasks while managing projects and information independently.
  • Serve as phone back-up to the office Administrative Assistant.
  • Provide support for company Board meetings as needed.

Requirements

  • Bachelor's degree, strongly desired.
  • Minimum of 5+ years in a fast-paced environment supporting senior executives, strongly preferred.
  • Strong intellectual curiosity and a desire to learn and grow.
  • Excellent organizational skills and time/project management abilities.
  • Demonstrated leadership and/or customer service experience.
  • Ability to maintain strict confidentiality.
  • Strong attention to detail and accuracy, particularly under pressure.
  • Excellent verbal and written communication skills.
  • Ability to type at least 50 wpm and pass a timed typing test.
  • Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to pass an advanced skills assessment test that includes computer knowledge, logic and reasoning, proof-reading, filing, PowerPoint, Excel, and Word.
