About the position

The Executive Assistant to the CFO at Fractal Analytics plays a crucial role in supporting the CFO and acting as the primary point of contact for internal and external stakeholders. This fast-paced position requires a proactive and entrepreneurial approach to managing various administrative tasks, projects, and communications, ensuring the smooth operation of the executive's office.

Responsibilities

  • Manage an active calendar of appointments across multiple geographical time zones.
  • Act as a 'gatekeeper', creating win-win situations for direct access to Executive time and offices.
  • Liaison and maintain communication among senior management, board members, middle management, and other business associates.
  • Diligently follow up on tasks and communications.
  • Efficiently handle and manage all administrative matters.
  • Ensure security, integrity, and confidentiality of data.
  • Manage and process invoices and expenses.
  • Arrange complex and detailed travel plans.
  • Handle personal matters such as doctor appointments and family travel arrangements.
  • Participate actively in the planning and execution of company events.
  • Coordinate office schedules, appointments, and bookings.
  • Manage in-person Board meetings and client visits.
  • Coordinate investor meetings and restaurant bookings for clients and board members.
  • Prioritize important office tasks and ensure they are completed.
  • Set up meeting rooms and issue security passes for visitors.
  • Oversee adherence to office policies and procedures.
  • Monitor and maintain office supplies of stationery and equipment.
  • Maintain a safe and secure working environment.
  • Answer phone calls and manage mail and deliveries.

Requirements

  • At least 3 years of experience as an Executive Assistant to executives.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook & Teams).
  • Excellent verbal and written communication skills in English.
  • Strong organizational skills with attention to detail.
  • Ability to handle confidential information with discretion.
  • Demonstrated proactive problem-solving skills and decision-making capability.
  • Ability to work effectively both independently and as part of a team.
