Hargrove Engineers & Constructors is seeking an Executive Assistant to the CFO to provide comprehensive administrative support to executive and management leaders. This role is pivotal in ensuring the smooth operation of the executive office and involves a variety of clerical and administrative tasks performed under general supervision. The Executive Assistant will be responsible for managing executive calendars, preparing proposals, organizational charts, and correspondence, as well as handling company mailings and labels. Additionally, the role includes entering and submitting expense reports, maintaining client contact information, and providing backup support for front desk reception duties. The Executive Assistant will also coordinate logistics for conferences and exhibits, including registering company teammates, ensuring the delivery and setup of promotional materials, and tracking charitable contributions. Other responsibilities include scheduling meetings, preparing meeting notes, and assisting in the coordination of company events such as holiday gatherings and retreats. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively in both verbal and written forms. This position requires a proactive approach to managing multiple tasks in a fast-paced environment while maintaining confidentiality and professionalism.
