About the position

We are adding an Executive Assistant to support our C-Suite at Vaden. This role is crucial as we continue to grow and enhance our team of incredible talent. The Executive Assistant will evolve into a true partnership with the executive, gaining a deep understanding of the business and being able to think and act on behalf of the executive. This includes representing the executive in meetings and communicating effectively with various stakeholders. The position requires a proactive approach to managing the executive's calendar, scheduling meetings, appointments, and travel arrangements, ensuring that the executive's time is utilized efficiently. In addition to calendar management, the Executive Assistant will coordinate and prepare materials for executive meetings, which includes creating agendas, presentations, and reports. The role also involves serving as a liaison between strategic leaders and their teams, as well as internal and external stakeholders, while maintaining professionalism and confidentiality at all times. Conducting research and gathering information to support decision-making processes is another key responsibility. The Executive Assistant will handle sensitive and confidential information with discretion and integrity, and assist in special projects and initiatives as assigned by the executive. This position is designed for someone who is organized, detail-oriented, and capable of managing multiple tasks simultaneously while maintaining a high level of professionalism.

Responsibilities

  • Manage and prioritize the calendar, scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for executive meetings, including agendas, presentations, and reports.
  • Serve as a liaison between the strategic leaders and their teams, internal/external stakeholders, maintaining professionalism and confidentiality.
  • Conduct research and gather information as needed to support decision-making processes.
  • Handle sensitive and confidential information with discretion and integrity.
  • Assist in special projects and initiatives as assigned by the executive.

Requirements

  • Bachelor's degree in Business Administration, Finance, or a related field preferred.
  • Proven experience as an Executive Assistant supporting C-suite executives.
  • Strong organizational skills with the ability to multitask and prioritize workload effectively.
  • Excellent communication and interpersonal skills, with a high level of professionalism.
  • Strong financial accounting experience.
  • Experience in handling corporate legal matters.
  • Effective communication skills.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
