About the position

The Executive Assistant to the Chief Financial Officer (CFO) provides high-level administrative and operational support to the CFO and finance department. This role requires a proactive, detail-oriented individual who has a minimum of 10 years of experience supporting C-suite executives, particularly CFOs. The ideal candidate will excel in managing complex schedules, ensuring the smooth flow and collection of information, and supporting the CFO in driving the Company's financial and strategic goals.

Responsibilities

  • Serve as the primary point of contact for internal and external stakeholders on behalf of the CFO, providing prompt and helpful assistance.
  • Manage the CFO's calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements. Ensure department deliverables are met including follow-up with the CFO's direct reports.
  • Develop and manage the finance calendar to ensure timely planning and execution of key financial and accounting activities, such as reporting deadlines, budgeting cycles, and audit schedules.
  • Prepare, review, and manage correspondence, presentations, and reports, ensuring accuracy and professionalism.
  • Assist in tracking deliverables and timelines to ensure critical milestones are met.
  • Coordinate and prepare materials for events including board meetings, executive meetings, and business reviews.
  • Build and maintain relationships with key stakeholders to facilitate collaboration and support the CFO's objectives.
  • Assist in organizing and planning events, from small meetings to larger, high-profile meetings.
  • Handle sensitive and confidential information with the utmost discretion.

Requirements

  • Minimum of 10 years of experience supporting a CFO or equivalent high-level executive in a finance-related role.
  • Bachelor's degree in business, finance, or a related field, or equivalent experience.

  • Deep understanding of the cadence of financial activities such as reporting schedules, audits, budgeting cycles and investor events.
  • Thoughtful foresight, exceptional organizational, communication, and interpersonal skills.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
  • Highly detail-oriented and able to manage multiple priorities under tight deadlines.
  • Proactive problem solver with excellent judgment and discretion.
  • Adaptable, resourceful, and able to work independently as well as collaboratively.
