About the position

The Executive Assistant to the Chief Machine Learning Officer at Moloco plays a crucial role in supporting the executive and the broader ML organization. This position involves managing complex calendars, coordinating meetings, and overseeing logistics for events, all while maintaining a high level of professionalism and discretion. The ideal candidate will thrive in a fast-paced, multicultural environment and will be instrumental in enhancing the efficiency of the executive's operations.

Responsibilities

  • Provide high-level administrative support for the Chief ML Officer and team-level support.
  • Manage and maintain sensitive and complex calendars of in-person, video, and external meetings across multiple global time zones.
  • Manage and execute team meetings, including logistics and preparation of presentations for All Hands.
  • Coordinate logistics for ML organization on-sites/off-sites, ad hoc events, and leadership meetings.
  • Coordinate extensive international and domestic travel.
  • Provide general administrative support, including email management and expense reporting.
  • Partner with stakeholders to arrange meetings and ensure deadlines are met.
  • Capture and distribute notes and action items from team meetings, following up on deliverables and OKRs.
  • Create efficient workflows and processes to maximize the executive's time.
  • Potentially support calendar, expense, and travel management for other senior ML team members.
  • Contribute to team culture with birthday and work-anniversary recognition.

Requirements

  • Experience supporting C-level/SVP executives, ideally in high-growth technology companies.
  • Familiarity with corporate technology such as Google Workspace, Slack, and Navan.
  • Experience navigating a multi-timezone, international environment.
  • Ability to anticipate needs and manage a high volume of tasks independently.
  • Experience with meeting planning and execution.
  • Strong communication skills to interact at all organizational levels.
  • Excellent interpersonal skills and experience working cross-functionally.
