About the position

The Executive Assistant to the Chief of Schools plays a crucial role in providing comprehensive administrative support to ensure that the Chief of Schools can focus on strategic priorities. This position requires a highly motivated individual who takes ownership of projects and goals, models professionalism, and builds authentic relationships within the school district. The Executive Assistant is responsible for managing the day-to-day operations related to the Chief of Schools' calendar, schedule, and meetings, ensuring that all logistical, operational, and financial responsibilities are handled efficiently and effectively. In this role, the Executive Assistant will anticipate operational and logistical needs, ensuring that all functions are completed with a high degree of precision and professionalism. The position involves supporting the preparation of reports, briefings, and presentations, as well as serving as the frontline ambassador for the Chief of Schools. This includes managing strategic work, creating effective agendas, scheduling meetings, taking notes, and following up on action items. The Executive Assistant will also provide top-notch customer service to all stakeholders, fostering effective communication and partnerships across the district. Collaboration is key in this role, as the Executive Assistant will work with various stakeholders to implement strategic initiatives and will be involved in cross-departmental teams to ensure effective execution of projects. Additionally, the Executive Assistant will be responsible for entering budget data into financial accounting software and reconciling any discrepancies. This position requires a proactive approach to problem-solving and a commitment to the success of all schools and district departments.

Responsibilities

  • Manage day-to-day operations related to the Chief of Schools' calendar, schedule, and meetings.
  • Efficiently manage logistical, operational, financial, and various other responsibilities on behalf of the Chief of Schools.
  • Support the operations of the Chief of Schools' team, ensuring all functions are completed with a high degree of precision, efficiency, and professionalism.
  • Anticipate operational and logistical needs and act to ensure smooth operations.
  • Support the preparation of reports, briefings, and presentations.
  • Serve as the frontline ambassador to persons meeting with and/or communicating with the Chief of Schools.
  • Support the Chief of Schools in managing strategic work, including effective agenda creation, meeting scheduling, note-taking, and follow-up.
  • Provide top-notch customer service to all stakeholders, effectively communicating and problem-solving.
  • Proactively build relationships with stakeholders to foster effective communication and partnerships across the District.
  • Act as a liaison and ambassador in all settings, representing the District in front of various stakeholders.
  • Collaborate with relevant stakeholders in the implementation of strategic and/or tactical initiatives.
  • Work collaboratively on cross-departmental teams to ensure effective implementation of work across the District.
  • Enter budget data and adjustments into financial accounting software and reconcile any differences.
  • Complete all other duties as assigned.

Requirements

  • Bachelor's degree (preferred) or Associate's degree (required).
  • 1 year of school and/or district work administrative or operational experience (preferred).
  • Demonstrated track record of achieving ambitious results in any setting (required).
  • Demonstrated track record of being highly reliable and professional (required).
  • Experience in an urban school setting (preferred).
  • Strong oral and written communication skills that demonstrate a high degree of professionalism, efficiency, and precision.
  • Exceptional technology skills, including the ability to analyze data, prepare reports, and coordinate logistics.

Benefits

  • Full-time position with a salary range of $66,330.00 - $67,663.23 per year.
