About the position

The Executive Assistant is responsible for providing general office and administrative support for the Chief of Staff to the Commissioner of Harris County Precinct 4. This includes a variety of clerical activities and tasks including heavy calendaring, answering incoming calls, handling correspondence, and organizing office communications and activities on a day-to-day basis. In addition, the Executive Assistant is responsible for preparing and submitting Commissioner agenda items, as well as handling communications with multiple county departments and community partners. The duties listed below are intended only as illustrations of the various types of work that may be performed. Provides administrative support to the Chief of Staff. Acts as monitor for Chief of Staff and Commissioner; interacts with constituents and community stakeholders on behalf of the Commissioner's office. Greet all who come to meet with the Chief of Staff and/or Commissioner. Manages conference room reservations and organizes all aspects of meetings. Types correspondence and reports; edits and updates various documentation. Attend meetings and take accurate minutes. Maintains confidential records and files. Supports and participates in project management activities as needed. Prepares a response to pending requests. Communicates with other relevant departments or team members to ensure requests are completed. Assist in Precinct 4 special events, town halls/listening tours/other meetings, as well as events with external partners, including working on some weeknights and some weekends. Performs other duties as assigned.

Requirements

  • High school diploma or G.E.D. equivalent.
  • Five (5) years of experience working in an office environment.
  • One (1) year of experience supporting an A-level Executive.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
  • Excellent verbal and written communication skills.
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment.
  • Ability to work well with public and staff members.
  • Excellent time management, multitasking, and data entry proficiency.
  • Good planning and organizational skills.
  • Well-developed verbal, listening, and written communications skills.
  • Ability to adapt to changes in day-to-day assignments with a positive attitude.
  • Ability to meet multiple deadlines and balance numerous projects in a fast-paced environment.
  • Strong sense of urgency with impeccable organizational skills to meet deadlines and requirements for multiple projects.
  • Ability to work effectively in a team or autonomously with accountability.
