About the position

The Executive Assistant to the Chief of Staff (COS) provides high-level operational support and project coordination, managing day-to-day administrative tasks and priorities. This role serves as a liaison between the COS and key internal/external stakeholders, allowing the COS to focus on critical initiatives and strategic planning. The position requires a proactive, diplomatic, and highly organized individual with excellent communication skills, capable of handling sensitive and confidential information.

Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel for the Chief of Staff.
  • Serve as the primary point of contact for internal and external communications directed to the Chief of Staff.
  • Assist in preparing reports, presentations, and other documents.
  • Organize and coordinate executive team meetings, including preparing agendas, materials, and meeting minutes.
  • Assist with strategic initiatives and special projects as directed by the Chief of Staff, including inputting related data into our internal CRM.
  • Coordinate and manage budget for travel arrangements, itineraries, and accommodations for the Chief of Staff and other executives as needed.
  • Support event planning and execution for key corporate meetings, retreats, and other executive functions.
  • Provide administrative support, including processing expenses, managing files, and handling overall office duties.
  • Proactively identify ways to improve administrative processes and workflows.

Requirements

  • 3+ years of experience in a support role, preferably in a fast-paced professional environment.
  • Ability to travel short and long distances, including overnight travel.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual communication tools (Zoom, Teams, etc.).
  • Discretion and ability to handle sensitive and confidential information.
  • A proactive, problem-solving attitude with strong attention to detail and ability to work independently.
