About the position

The Executive Assistant to the Chief People Officer provides high-level administrative support to the Chief People Officer and the Human Resources division. This role is crucial for ensuring the smooth delivery of activities that support enterprise priorities, utilizing critical thinking to navigate non-routine situations. The position involves proactive management of day-to-day needs for the HR leadership team and contributing expertise to special projects as assigned, while acting as a peer leader within the administrative professional team.

Responsibilities

  • Provide administrative support for the Chief People Officer by coordinating scheduling, travel, and logistics.
  • Support the HR leadership team by coordinating administrative details and facilitating logistics for departmental objectives.
  • Manage multiple leaders' calendars, resolving conflicts and streamlining events.
  • Act as a liaison between company leadership, department staff, and external parties to ensure efficient operations.
  • Serve as a gatekeeper for communication between the leadership team and staff, directing correspondence appropriately.
  • Assist in preparing and distributing presentations, documents, and reports in support of strategic priorities.
  • Arrange and orchestrate leadership team meetings, including logistics for both in-person and remote attendees.
  • Maintain clear communication with leaders during travel and prioritize information dissemination.
  • Manage multiple projects and follow up to ensure timely achievement of commitments.
  • Handle business expense reports and ensure timely submission and approval of expenses.
  • Educate and train oneself on various software to optimize project efficiency.

Requirements

  • 5+ years of experience in Executive Support roles.
  • High School Diploma or General Education Diploma (GED) or equivalent experience.
