About the position

The Executive Assistant to the Chief People Officer provides high-level administrative support to the Chief People Officer and the Human Resources division. This role is crucial for ensuring the smooth delivery of activities that support enterprise priorities, utilizing critical thinking to navigate non-routine situations. The Executive Assistant proactively manages the day-to-day needs of the HR leadership team and contributes expertise to special projects as assigned, acting as a peer leader within the administrative professional team.

Responsibilities

  • Provides administrative support for the Chief People Officer by coordinating administrative details, including scheduling meetings and coordinating travel logistics.
  • Supports the HR leadership team by enabling effective prioritization and facilitating logistics necessary to achieve departmental objectives.
  • Coordinates across multiple leaders' calendars, managing calendar conflicts and streamlining events.
  • Acts as a liaison between company leadership, department staff, and other business units to ensure smooth operations.
  • Performs gatekeeper duties, directing correspondence and resolving inquiries from external customers and vendors.
  • Assists with preparing and distributing presentations, documents, and reports in support of strategic priorities.
  • Arranges leadership team meetings, preparing agendas and facilitating meeting logistics, including technology for remote attendees.
  • Maintains clear communication with leaders during travel and ensures timely completion of tasks.
  • Manages multiple projects and priorities, ensuring timely achievement of commitments such as onboarding new employees.
  • Manages business expense reports and ensures timely submission and approval of expenses.
  • Educates and trains self on various software to optimize project efficiency.

Requirements

  • 5+ years of experience in Executive Support roles.
  • High School Diploma or General Education Diploma (GED) or commensurate experience.
