About the position

The NAACP is seeking a dynamic and highly organized individual to fill the role of Executive Assistant to the Chief Strategy Officer (CSO). This position is crucial for managing the day-to-day activities of the CSO and providing comprehensive administrative support. The ideal candidate will be detail-oriented, possess strong communication skills, and be capable of building and maintaining a trusted, respectful, and confidential relationship with the CSO. The role requires a resourceful, proactive self-starter with a positive attitude, who can thrive in fast-paced environments and respond to requests with urgency and enthusiasm. In this role, the Executive Assistant will be responsible for sophisticated calendar management for the CSO, prioritizing inquiries and requests while troubleshooting conflicts. The candidate will act as the voice of the CSO through all channels of communication and will prepare and anticipate needs for the CSO in advance of meetings, including creating agendas, attendee bios, and presentations. The Executive Assistant will work closely with the CSO to keep her informed of upcoming commitments and responsibilities, ensuring that all matters are handled with the utmost confidentiality and professionalism. Additionally, the Executive Assistant will manage travel and transportation bookings, assist with preparation for board meetings, and support the CSO with various tasks as needed. This position requires a high level of judgment, the ability to handle sensitive information, and the capacity to build cross-functional partnerships within the organization.

Responsibilities

  • Provide sophisticated calendar management for the CSO, prioritizing inquiries and requests while troubleshooting conflicts.
  • Act as the voice of the CSO through all channels of communication.
  • Prepare and anticipate needs for the CSO in advance of meetings, including agendas, attendee bios, decks, and all other pertinent insight.
  • Work closely with the CSO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Serve as the primary contact of internal and external constituencies on all matters pertaining to the CSO, including those of a highly confidential or critical nature.
  • Assist CSO with preparation for board meetings.
  • Manage travel and transportation bookings, along with expense reports.
  • Create and edit presentations and documents.
  • Support CSO and perform other tasks as needed.

Requirements

  • Bachelor's degree or equivalent experience.
  • Minimum of 5 years of executive-level administrative experience supporting an executive leader, or at least 5 years of experience supporting high performing programs in a complex environment.
  • Experience in a fast-paced highly dynamic, evolving organization and work environment in a national or nonprofit organization.
  • Advanced problem-solving skills.
  • Superior analytic and strategic skills in written and oral communications; ability to summarize and synthesize complex ideas in a clear manner.
  • Strong execution and organization skills and demonstrated experience in prioritizing and executing multiple priorities seamlessly with excellent attention to detail.
  • Ability to take and give feedback and consistently work to achieve better results.
  • Ability to exercise sound judgment and independent decision-making and pivot effectively between certainty and ambiguous situations.
  • Executive level project management experience.
  • Ability to appropriately handle sensitive knowledge and matters with the highest level of confidentiality.
  • A strong ability to build cross-functional partnerships and work collaboratively with partners to the CSO.
  • Ability to demonstrate confidence, composure, and professionalism in challenging, high-stress situations.
  • Demonstrated ability to effectively work both independently, as well as, in a team-oriented, collaborative and collegial environment.
  • Ability to be plugged into the culture of the organization, understanding its larger goals and its needs.
  • A flexible and positive attitude and the ability to anticipate future needs.
  • A growth mindset with the desire to learn, grow, and embrace innovative ideas.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; and prior Salesforce or similar CRM experience preferred.
