About the position

The Executive Assistant to the Chief Integration Officer (CIO) plays a crucial role in providing high-level administrative support to the CIO and other senior staff. This position is essential for ensuring efficient operations within the executive office, managing communications, scheduling, and various clerical tasks to facilitate the work of senior leadership.

Responsibilities

  • Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodations for executives.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Performs additional duties as assigned by executives.
  • Actively raises and maintains financial support necessary to support wage compensation requirements according to corporate compensation policies and set rates.

Requirements

  • Proven experience as an executive assistant or in other administrative roles.
  • Strong organizational skills and ability to multitask.
  • Excellent written and verbal communication skills.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Ability to maintain confidentiality and handle sensitive information.

Nice-to-haves

  • Experience in a corporate environment or with senior executives.
  • Familiarity with basic bookkeeping and financial support tasks.
