About the position

The Executive Assistant to the Chief Investment Officer (CIO) at Purdue Research Foundation plays a crucial role in managing the administrative operations of the Office of Investments. This position involves coordinating the CIO's schedule, preparing confidential reports, and serving as a liaison with various stakeholders. The role requires excellent organizational skills and the ability to handle multiple projects while maintaining a high level of professionalism and discretion.

Responsibilities

  • Serve as Executive Assistant to the Chief Investment Officer and coordinate administrative operations of the Office of Investments.
  • Manage appointment calendars and coordinate the CIO's daily schedule.
  • Compose and edit reports involving highly confidential or sensitive information.
  • Provide relevant background information and material for meetings, ensuring timely preparation of all materials.
  • Communicate frequently with Purdue University personnel, government offices, and PRF senior staff to coordinate meetings and obtain information.
  • Coordinate Investment Committee meetings, distribute materials, and oversee meeting minutes.
  • Manage the flow of documents in and out of the Office of Investments, including legal contracts.
  • Set priorities and ensure all deadlines are met, alerting staff to upcoming deadlines.
  • Maintain working and permanent files with high-level documents, proposals, and legal contracts.
  • Coordinate travel arrangements, including flights, hotels, and meeting itineraries.
  • Prepare agendas and assist with research and content development for meetings chaired by the CIO.
  • Manage travel/leave queue and credit card statements for the Office of Investments.
  • Screen incoming mail and calls, determining the nature of inquiries and handling appropriately.

Requirements

  • High School diploma or GED equivalent required.
  • Four years' experience providing high-level clerical or office management required.
  • Knowledge of Microsoft Office Suite, including proficiency in Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to maintain confidentiality and exercise discretion on operational matters.
  • Strong organizational, time management, and problem-solving skills.
