About the position

The City of Riverside is seeking an Executive Assistant to the City Manager to provide high-level administrative support in a confidential capacity. This role is pivotal in ensuring the smooth operation of the City Manager's Office, which involves a variety of complex and sensitive tasks. The Executive Assistant will be responsible for managing the schedules of the City Manager and other executive staff, organizing meetings and events, and performing essential personnel and accounting functions. This position requires a proactive individual who can handle multiple priorities and maintain a high level of professionalism and confidentiality. In this role, the Executive Assistant will coordinate and facilitate internal and external meetings, ensuring that all necessary arrangements are made in a timely manner. This includes preparing agendas, taking minutes, and following up on action items. The assistant will also be responsible for administering various accounting and personnel tasks, such as processing timecards, preparing purchase orders, and managing budget-related documents. Additionally, the Executive Assistant will supervise the work of administrative support staff, ensuring that tasks are completed accurately and efficiently. The position requires a strong ability to communicate effectively with a diverse range of stakeholders, including city officials, constituents, and external agencies. The Executive Assistant will also be tasked with researching and interpreting city policies and regulations, providing guidance to staff and the public as needed. Travel coordination for departmental staff, including booking travel arrangements and managing conference registrations, is also a key responsibility of this role. Overall, the Executive Assistant will play a crucial role in supporting the City Manager and ensuring the effective functioning of the City Manager's Office.

Responsibilities

  • Schedule, reschedule, and monitor work calendars of the City Manager and executive staff.
  • Organize and facilitate internal and external meetings, seminars, and events.
  • Administer accounting and personnel tasks for the City Manager and City Council.
  • Submit and approve timecards for the City Manager's Office and various department heads.
  • Prepare purchase orders, expense reports, and budget-related documents.
  • Supervise the work of assigned office staff and check work for completeness and accuracy.
  • Receive and direct incoming calls and emails related to public complaints and sensitive matters.
  • Research and explain City-wide policies and route information for resolution.
  • Coordinate out-of-state travel for departmental staff, including booking travel and accommodations.

Requirements

  • High School graduation or GED, supplemented by college-level coursework in relevant fields.
  • Five years of increasingly responsible executive and administrative support experience.
  • Possession of, or ability to obtain, a valid Class 'C' California Motor Vehicle Operator's license.

Nice-to-haves

  • An Associate's Degree in business, public administration, or a related field is preferred.
