About the position

The Executive Assistant to the COO/EVP plays a crucial role in supporting the Chief Operating Officer and Executive Vice President at the Fetzer Institute. This position requires a dynamic individual who can manage a busy executive's calendar, handle communications, coordinate travel, and support various projects while maintaining a high level of professionalism and confidentiality. The role also involves providing part-time administrative support to the Director of Learning and Strategic Integration, making it a multifaceted position that thrives on organization and initiative.

Responsibilities

  • Manage an extremely active and fluid calendar for the COO/EVP, prioritizing inquiries and requests while troubleshooting conflicts.
  • Represent the COO/EVP through written and verbal communications with various stakeholders, ensuring a high level of hospitality.
  • Design, create, and edit documents, reports, and presentations, preparing information for meetings.
  • Draft and respond to emails as directed, ensuring follow-up on tasks and contacts made by the COO/EVP.
  • Plan and manage travel arrangements for the COO/EVP, including scheduling and preparing itineraries.
  • Coordinate and support meetings of the Cabinet and Movement Leadership Teams, handling all logistics and taking meeting notes.
  • Serve as the primary point of contact for internal and external constituencies on matters pertaining to the COO/EVP.
  • Conduct research and analyze information to conserve the COO/EVP's time.

Requirements

  • Bachelor's degree required.
  • 5-10 years of experience, with at least three years supporting a C-suite executive in a non-profit organization.
  • Mastery of the Microsoft Office suite, especially Word, PowerPoint, Excel, and OneNote.
  • Excellent writing and grammar skills, with strong proofreading and editing capabilities.
  • Detailed project management skills and the ability to adapt to changing priorities.

Nice-to-haves

  • Experience with D365 is a plus.
  • Proactive, fast-paced, and independent problem-solving skills.
  • Ability to work with sensitive information and maintain confidentiality.
