About the position

The Executive Assistant (EA) to the Chief Operating Officer (COO) plays a crucial role in supporting the COO and managing the executive office's operations. This position involves coordinating communications, managing calendars, overseeing administrative projects, and ensuring the smooth functioning of the office. The EA also serves as a liaison between departments and is responsible for various HR-related tasks, including recruitment and employee onboarding.

Responsibilities

  • Support the COO with calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Coordinate sensitive and confidential projects across the organization and prepare reports as requested by the COO.
  • Develop and schedule quarterly DEIA and organization-wide learning sessions in collaboration with the COO.
  • Assist in the recruitment process by developing job descriptions, conducting interviews, and communicating results to candidates.
  • Administer annual culture surveys and propose strategies for improvement based on the results.
  • Manage the Employee Handbook and coordinate onboarding and offboarding processes for new employees.
  • Handle complex and confidential situations and serve as a resource for staff and management.
  • Oversee daily office operations, including supply inventory and facility management.
  • Generate official internal documents such as offer letters and appointment letters.
  • Monitor the safety and cleanliness of office areas and collaborate on budgeting for facilities needs.
  • Coordinate all-staff meetings, retreats, and social outings with the Events Manager.

Requirements

  • Bachelor's degree in human resources, business administration, or a related field.
  • Minimum of three years of work experience preferred.
  • Excellent verbal and written communication skills.
  • Strong analytical, problem-solving, and organizational skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office or related software.

Benefits

  • Competitive salary in the range of $70,000 to $80,000.
