About the position

The Executive Assistant to the Dean at UC Santa Cruz provides high-level administrative and project management support to the Dean's Office, ensuring efficient operations and effective communication within the Baskin School of Engineering. This role requires collaboration with various stakeholders, managing the Dean's calendar, and organizing meetings and events, all while upholding the university's commitment to diversity, equity, and inclusion.

Responsibilities

  • Oversee daily administrative operations for the Dean and Assistant Dean, including travel and meeting arrangements.
  • Manage the Dean's calendar and prioritize requests based on divisional activities.
  • Prepare agendas, distribute materials, and arrange logistics for meetings.
  • Support large-scale events by managing logistics and guest accommodations.
  • Maintain the Dean's Office Google Drive and manage divisional emails and shared documents.
  • Coordinate special projects and initiatives with the Dean and Assistant Dean.
  • Track divisional deadlines and manage project management tools like Asana.

Requirements

  • Bachelor's degree in a related area or equivalent experience/training.
  • Experience in managing projects and solving problems efficiently.
  • Ability to prioritize multiple assignments and meet deadlines with high accuracy.
  • Effective communication skills with diverse populations, both verbally and in writing.
  • Proficiency in Google Suite and project management tools.

Nice-to-haves

  • Experience in a higher education environment.
  • Familiarity with the principles of community and diversity initiatives.
