About the position

The Executive Assistant to the Deputy Commissioner of the Financial and Administrative Services Division and the State Board of Education is a vital support role responsible for providing operational and logistical assistance. This position requires managing the deputy's calendar, preparing travel arrangements, and handling sensitive correspondence. The role involves direct interaction with various stakeholders, including department staff, board members, and the public, ensuring smooth communication and efficient operations within the department.

Responsibilities

  • Provide operational and logistical support to the Deputy Commissioner.
  • Maintain the Deputy Commissioner's calendar and prepare travel arrangements.
  • Prepare, review, and edit correspondence, documents, reports, and forms for the Deputy's signature.
  • Make travel arrangements for State Board of Education members and provide detailed itineraries.
  • Serve as a liaison between board members and the department.
  • Proofread board agenda items for proper format and grammatical structure.
  • Post board materials to the department's website.
  • Attend board meetings and take minutes.
  • Serve as custodian of records for the State Board of Education.
  • Schedule State Board of Education meeting rooms.

Requirements

  • Graduation from high school or equivalent diploma.
  • Five years of progressively responsible support tasks, with at least two years supporting upper management.
