About the position

The Executive Assistant position at the Fire Department of the City of New York (FDNY) involves providing high-level administrative support to the Executive Director of the Fire Alarm Unit. The role is critical in managing confidential matters, overseeing clerical staff, and ensuring efficient operations within the Bureau of Fire Prevention. The successful candidate will play a key role in coordinating responses to business support requests and maintaining time-keeping records, contributing to the overall mission of enhancing fire safety in New York City.

Responsibilities

  • Serve as the Executive Assistant to the Director of the Fire Alarm and Central Station Units.
  • Handle confidential matters such as appointments, meetings, and other high-priority issues.
  • Oversee and manage clerical staff for the Fire Alarm and Central Station Units.
  • Complete and submit weekly statistical information regarding projected and actual inspections to the Unit Manager.
  • Resolve billing issues with the Bureau of Revenue.
  • Manage clerical staff through data processing in Accela and remote work analysis.
  • Conduct extensive searches, analysis, and selection for enforcement of outstanding Letters of Defects, Violation Orders, and summonses.
  • Track and coordinate responses to FDNY Business Support requests.
  • Oversee and maintain time-keeping records (CityTime) for the Fire Alarm and Central Station Units.
  • Perform related duties as needed.

Requirements

  • A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity.
  • An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity.
  • A four-year high school diploma or its educational equivalent and six years of satisfactory, full-time progressively responsible experience as described above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity.
  • Education and/or experience equivalent to the above, with all candidates required to possess the 18 months of administrative, managerial, executive or supervisory experience.
