About the position

The Executive Assistant to the Director of HR plays a crucial role in supporting the HR and Payroll teams by performing various administrative duties, ensuring effective communication, and maintaining confidentiality in high-level operations. This position requires a proactive problem solver with exceptional communication skills and meticulous attention to detail, who can adapt to the dynamic nature of the executive landscape.

Responsibilities

  • Performing administrative duties, such as maintaining employee databases, E-verify, and sorting emails for the HR department.
  • Maintaining proper records of employees' leave and assisting with payroll duties.
  • Serving as a point of contact, soliciting feedback from key stakeholders, providing smooth communication with employees and timely resolution to their queries, utilizing Zendesk.
  • Coordinate with HR team to process worker's Compensations and Unemployment Benefits Requests.
  • Manage professional and personal scheduling for Director, including agendas, mail, email, phone calls, client management, and other company logistics.
  • Develop and/or update company policies as needed.
  • Implement rollout of new and/or updated programs and initiatives.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to and from the Director's direct reports.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  • Organize team communications and plan events, both internal and off-site.
  • Flexibility to work during the weekend on occasion, and to work additional hours if required.

Requirements

  • Four or more years of experience in an administrative role reporting directly to upper management.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with office suite productivity tools and an aptitude for learning new software and systems.
  • Ability to maintain confidentiality of information.
  • Strong ability to multi-task in a high functioning environment.
