About the position

The Executive Assistant to the Director of the Department of Early Learning and Care plays a vital role in supporting the agency's leadership and operations. This position is responsible for providing executive-level administrative support, managing communications, and ensuring the smooth operation of the Director's Office. The role is essential in facilitating collaboration and innovation within the agency, which aims to positively impact the lives of young children and their families in Oregon.

Responsibilities

  • Provide executive-level, confidential support to the Early Learning Systems Director and Executive Leadership Team.
  • Manage day-to-day office operations, policies, procedures, and programs of the Office of the Director.
  • Coordinate communications to and from the Director's Office.
  • Provide backup support to the Executive Leadership Team members and the Executive Officer to the Early Learning Council.
  • Assist in the administration of department programs and operations.

Requirements

  • Four years of staff-level experience providing administrative support to management.
  • Experience must include technical or analytical duties in program management, project planning, budget monitoring, or research.
  • A Bachelor's degree in Business Administration, Management, Public Administration, or a closely related field may substitute for up to two years of required experience.
  • Proficiency in Microsoft applications such as Outlook, Word, PowerPoint, and Excel.
  • Ability to communicate effectively both orally and in writing with a variety of people.

  • Experience managing calendars and coordinating meetings or workshops.
  • Ability to handle inquiries with tact while protecting confidentiality.
