About the position

The Executive Assistant to the Director of University Police Southern Command plays a crucial role in providing high-level administrative support to the Director and Command staff. This position is responsible for facilitating communication and coordination among various stakeholders, including university presidents, vice presidents, and community partners, to enhance public safety services across multiple institutions. The Executive Assistant will manage complex administrative tasks, oversee office operations, and ensure the Director's priorities are met while maintaining confidentiality and discretion in all communications.

Responsibilities

  • Provide high-level administrative and secretarial support to the Director and Command staff.
  • Act as an intermediary on delegated administrative support matters requiring independent judgment and discretion.
  • Facilitate management processes and coordinate with various groups across the campuses and community.
  • Screen incoming correspondence and calls, making preliminary assessments of importance and urgency.
  • Maintain the Director's calendar, scheduling appointments and arranging meetings and travel.
  • Compose correspondence and prepare administrative reports, ensuring quality and accuracy.
  • Develop and maintain UPD's Policies and Procedures Manual and manage confidential records.
  • Participate in budget development and monitor expenditures within delegated authority.
  • Coordinate special projects and assignments as requested by the Director.

Requirements

  • Graduation from high school or equivalent education.
  • Five years of progressively responsible administrative support experience, including overseeing office activities and maintaining complex records.
  • Experience as an Administrative Assistant IV in Nevada State service or equivalent combination of education and experience.
  • A valid driver's license is required.

Nice-to-haves

  • Bachelor's or master's degree from an accredited college or university.
  • Six years of executive and administrative assistance experience, including support to a Chief of Police or high-ranking official in law enforcement.
  • Experience working in higher education and law enforcement.
  • Demonstrated flexibility in managing changing demands and deadlines.
  • Advanced verbal and written communication skills.
