About the position

The Executive Administrative Assistant to the EVP & President of Automation & Motion Control (AMC) plays a crucial role as the key administrative partner to the executive leadership of the Automation & Motion Control Segment at Regal Rexnord. This position is primarily based in Rosemont, Illinois, with some flexibility for remote work. The Executive Assistant will support the EVP & President and their leadership team, which includes the VP of HR and the VP of Finance, and may also provide assistance to other members of Regal Rexnord's executive leadership team as needed. In this role, the Executive Administrative Assistant will be responsible for a variety of administrative tasks that are essential for the smooth operation of the executive's office. This includes managing day-to-day administrative support, planning and arranging extensive domestic and international travel, and facilitating the planning and organization of meetings. The Executive Assistant will prioritize matters for handling and processing, ensuring that all deadlines are met, and will manage the executive's calendar, making appointments and prioritizing sensitive matters. The ideal candidate will possess a high level of communication skills and the ability to anticipate the needs of the executives with minimal direction. They will be expected to create and maintain important professional relationships with other high-level leaders within the company. Additionally, the Executive Assistant will prepare PowerPoint presentations, Excel charts, and graphs, as well as draft, proofread, edit, and organize various business documents in accordance with established protocols. This role also involves serving as a liaison with candidates and new hires, ensuring a smooth acclimation process into Regal Rexnord, and maintaining confidentiality regarding the company's business matters.

Responsibilities

  • Provide primary day-to-day administrative support to the EVP & President of AMC.
  • Plan and arrange extensive domestic and international travels for the executive.
  • Facilitate the planning, agendas, and arrangements of meetings and travel.
  • Prioritize matters for handling and processing in a timely manner, tracking to ensure all deadlines are met.
  • Manage calendars, including making appointments and prioritizing sensitive matters.
  • Anticipate the needs of the executives with little to no direction and take initiative in daily responsibilities.
  • Communicate effectively and confidently with high-level leaders in the company.
  • Prepare PowerPoint presentations, Excel charts, and graphs as needed.
  • Draft, proofread, edit, organize, track, and file various business documents according to established protocols.
  • Work closely with internal and external business associates to foster professional communication.
  • Serve as a liaison with candidates and new hires to help them acclimate to Regal Rexnord.
  • Organize, maintain, and update electronic files and databases.
  • Ensure and protect the confidentiality of Regal Rexnord's business matters.

Requirements

  • 5 or more years of experience as an administrative assistant in an executive leadership environment, or an equivalent combination of education and experience.
  • 8 or more years of experience preferred.
  • Excellent interpersonal and influencing skills to establish trust, credibility, and rapport at all levels of the organization.
  • Working knowledge of basic business terminology and concepts, with the ability to read, proofread, and organize documents.
  • Advanced skills in Microsoft Office Suite.
  • Proven ability to be hands-on, resourceful, and results-oriented.
  • Mindset of continuous improvement and ability to embrace Regal's 80/20 principles.
  • Demonstrated ability to develop strong partnerships and influence resources outside one's direct responsibility.
  • Capability of operating at the highest level of integrity, ethical standards, and confidentiality.
