About the position

The Executive Assistant role at BNP Paribas involves providing high-level administrative support to Department Heads or C-level executives within the Corporate & Institutional Banking (CIB) division. This position requires exceptional organizational skills, the ability to manage complex schedules, and proficiency in various administrative tasks to ensure smooth operations and effective communication within the team and with external stakeholders.

Responsibilities

  • Diligent, pro-active management of complex agenda and setting of meetings across all time zones
  • Schedule and track client meetings and support, including Board and Regulatory meetings
  • Domestic and International Travel arrangements; expense claims, expedited travel services
  • Coordinate and effectively manage Microsoft Teams video conferences and weekly GBA wide calls (200+ participants)
  • Preparation and coordination of departmental meetings, events, and Town Halls
  • Creating, editing and preparation of emails, organization charts and presentations
  • Managing logistics/schedules for visitors and supporting senior executives during their visits
  • Assist with the onboarding process of new hires and transfer candidates
  • Management of incoming and outgoing phone calls and communications
  • Maintain and create e-mail distribution lists in Outlook
  • Modification and distribution of departmental reports
  • Completion of any reasonable projects or tasks, as requested by management
  • Utilize several application systems including iValua/MyPortal, MyIAM, My IT/SailPoint, Concur, Outlook, and Microsoft Office Suite

Requirements

  • Bachelor's degree or higher with a strong understanding of Front Office principles and processes for providing customer and administrative services
  • 6-10 years of proven experience as an Executive Assistant, supporting Department Heads or C-level executives, preferably within a financial institution
  • Demonstrate an in-depth understanding of office, IT and administrative management procedures and departmental and legal policies
  • Competent in Word, PowerPoint and Excel
  • Exceptional communication and interpersonal skills, with the ability to communicate pro-actively and utilize tact and confidentiality
  • Excellent organizational skills with the ability to multitask and prioritize work based on potential impact
  • Exhibit initiative and resourcefulness to get tasks done quickly and efficiently with a high degree of professionalism

Nice-to-haves

  • Strong understanding of Front Office principles and processes for providing administrative services
  • Demonstrated ability to anticipate the needs of managers and escalate issues as necessary
