About the position

The Executive Assistant to the Head of School at The SEED School of Washington D.C. plays a crucial role in supporting the Head of School (HOS) by managing daily operations and special projects. This position is designed to enhance the effectiveness and efficiency of the HOS, allowing them to focus on strategic leadership and vision for the school. The EA will handle a variety of responsibilities, including scheduling, communication, event coordination, and budget management, while embodying the core values of the SEED Network.

Responsibilities

  • Provide modeled teaching and direct instruction for teachers and students as needed.
  • Schedule and arrange appointments for the HOS with various stakeholders.
  • Coordinate with the Senior Leadership Team to plan and orchestrate school-wide events.
  • Work with HR to schedule interviews and track employee leave.
  • Record minutes during meetings and attend as the HOS's proxy.
  • Manage the HOS's calendar to optimize time and organization.
  • Screen calls, review messages, and greet visitors for the HOS.
  • Maintain and manage files for the HOS.
  • Monitor and oversee the department budget and reconcile expenses.
  • Make travel arrangements for the HOS and executive suite staff.
  • Assist in organizing materials for meetings and events.
  • Coordinate project management functions for the HOS's office.
  • Manage the use of conference rooms and oversee credit card purchases.
  • Assist with compliance-related reports for external entities.
  • Coordinate logistics for Board of Trustee meetings and Foundation meetings.
  • Draft communications for the Board of Trustee and other stakeholders.
  • Produce organized documents and presentations for the HOS.
  • Assist the HOS with various duties to manage workload and projects.
  • Communicate and represent the SEED Network Core Values.
  • Maintain the SEED DC school's master calendar.
  • Update critical documents and manage website content related to the HOS's office.
  • Coordinate special projects for internal and external stakeholders.

Requirements

  • Bachelor's degree and 6-8 years of executive administrative experience, preferably in the secondary school sector.
  • Strong written and oral communication skills.
  • Excellent interpersonal skills to interact with diverse constituents.
  • Ability to work in a multi-ethnic and multicultural environment.
  • Proficient in Microsoft Office Suite and Google Suite.
  • Comprehensive understanding of boarding education organizations and their policies.
  • Strong leadership, organizational, and presentation skills.
  • Proven ability to manage multiple complex tasks and relationships.
  • Capacity to develop and interpret data effectively.
  • Ability to think strategically in managing resources.
  • Strong leadership and supervisory skills.
  • Ability to read and interpret academic journals, financial reports, and legal documents.
  • Ability to present information effectively to top leaders and Boards of Trustees.
  • Demonstrated political savvy and discretion in all matters.
