About the position

The Executive Assistant to the HOPE Center Director plays a crucial role in providing high-level administrative support to the Program Director at the Georgia Department of Public Health. This position involves managing sensitive matters with confidentiality, assisting in problem resolution, and representing the Director at various meetings and organizational functions. The role is integral to ensuring the smooth operation of the center and supporting the overall mission of promoting health and well-being in Georgia communities.

Responsibilities

  • Provides high level administrative support to the Program Director.
  • Helps with problem resolution to claimants, including employers, staff, clients, outside agencies, and the public.
  • Acts as a representative for the Director at meetings and organizational functions.
  • Manages a calendar of meetings and events for the center and the Director.
  • Prepares Word, Excel, PowerPoint presentations, agendas, reports, and other documents in support of organizational objectives.
  • Drafts and prepares correspondence for internal announcements and meetings for the Director.
  • Supports routine administrative functions for the Director and agency, including travel, vendors, telecommunications, contracts, purchasing, and personnel.
  • Documents data/information such as organizational unit or program area work activity, productivity, budget expenditures, and resource utilization.
  • Evaluates and monitors program services and operational efficiency by conducting audits and analysis and preparing reports or recommendations for improvement.
  • Provides technical assistance and program information to customers.

Requirements

  • 2 years of experience in a senior-level administrative role.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Strong problem-solving skills and ability to manage sensitive matters with confidentiality.

Nice-to-haves

  • Experience in public health or government agencies.
  • Familiarity with contracts and memorandums of understanding (MOU).
