About the position

The Executive Assistant to the HOPE Center Director plays a crucial role in providing high-level administrative support to the Program Director at the Georgia Department of Public Health. This position involves managing sensitive matters with confidentiality, assisting in problem resolution, and representing the Director at various meetings and functions. The role requires strong communication skills and the ability to handle complex customer service issues while contributing to the overall efficiency of the center's operations.

Responsibilities

  • Provides high level administrative support to the Program Director.
  • Helps with problem resolution to claimants, including employers, staff, clients, outside agencies, and the public.
  • Assists with resolution of detailed programmatic and personnel issues and questions.
  • Acts as a representative for the Director at meetings and organizational functions.
  • Manages sensitive matters with a high level of confidentiality and discretion.
  • Sustains a calendar of meetings and events for the center and the Director.
  • Prepares Word, Excel, PowerPoint presentations, agendas, reports, and other documents.
  • Drafts and prepares correspondence for internal announcements and meetings for the Director.
  • Supports routine administrative functions for the Director and agency, including travel and contracts.
  • Documents data/information such as organizational unit or program area work activity and budget expenditures.
  • Evaluates and monitors program services and operational efficiency by conducting audits and analysis.
  • Provides technical assistance and program information to customers.

Requirements

  • Bachelor's degree from an accredited college or university.
  • Three years of advanced experience in a customer service setting communicating information, or five years of advanced experience in a customer service setting communicating information, or two years of experience at the lower level Customer Service Representative 3.
