About the position

The City of Fairburn is seeking an experienced Executive Assistant to the Mayor, responsible for providing high-level administrative support to the Executive Office. This role involves maintaining confidentiality, liaising with various stakeholders, and coordinating events and meetings. The position requires a strong background in executive-level administration, preferably within local government, and reports directly to the Mayor.

Responsibilities

  • Provides executive administrative and technical support to the Mayor and assists City Council members as directed.
  • Receives and responds to inquiries, concerns, and complaints from citizens and City stakeholders; screens and transfers communications appropriately.
  • Prepares responses to correspondence and coordinates proclamations and documents issued by the Mayor.
  • Schedules the Mayor's appointments, meetings, and appearances, maintaining an organized schedule.
  • Arranges the Mayor's travel itinerary, reservations, and logistical details in collaboration with the Communications Department.
  • Reserves City facilities for meetings and processes documents for payment of invoices and reimbursements.
  • Routes press inquiries and news releases to the Communications Director and collaborates on preparing speeches and talking points for the Mayor.
  • Maintains accurate logs of contracts, agreements, and other legal documents signed by the Mayor.
  • Assists with meeting preparation for work sessions and council meetings, including preparing supporting documents for the agenda.
  • Conducts legislative research in response to city council agenda items and constituent inquiries.
  • Alerts the Mayor to information and problem areas needing attention, safeguarding sensitive information.
  • Attends work sessions and council meetings as assigned and participates in workshops and training sessions.

Requirements

  • Bachelor's degree in Business Administration, Public Administration, Communications, or related field.
  • Five years of management, public relations, governmental affairs, or related experience, including at least two years supporting a government agency or public official.
  • Knowledge of management and administrative practices, policies, and procedures.
  • Knowledge of applicable laws, ordinances, policies, and regulations related to the job.
  • Skill in project management and implementation.
  • Ability to prioritize and plan work activities efficiently.
  • Ability to maintain confidentiality and safeguard sensitive information.
  • Ability to communicate effectively with various stakeholders.

Nice-to-haves

  • Local government experience is a plus.
  • Experience working in executive-level administrative positions is preferred.

Benefits

  • Hiring Range: $68,575.12 - $75,432.63 Annually (Depending on qualifications)
  • Work Days/Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m.
