About the position

The City of Amesbury is seeking a qualified Executive Assistant to the Mayor, who will serve as the office manager for the Mayor's Office. This role involves providing a wide range of complex and confidential administrative support services in a dynamic and politically sensitive environment. The Executive Assistant will interact with various stakeholders, manage communications, and oversee office operations to ensure the Mayor's objectives are met effectively.

Responsibilities

  • Serve as office manager for the Mayor's Office, maintaining and updating calendars for the Mayor and Chief of Staff.
  • Receive and screen requests, coordinate, arrange, and confirm meetings, appointments, and events.
  • Oversee communications and constituent services for the Mayor's Office, including managing visitor and telephone inquiries.
  • Act as a liaison between the public, community organizations, City employees, and the Mayor.
  • Prepare and type correspondence, reports, resolutions, and other documents, ensuring accuracy and compliance with standards.
  • Supervise the maintenance of office records and databases.
  • Coordinate board and commission appointments with the Chief of Staff.
  • Plan and supervise logistical arrangements for Mayor's events, such as the State-of-the-City address.
  • Oversee the main City Hall reception area and train volunteer greeters when applicable.
  • Serve as staff liaison to the Special Events Committee and the Liquor License Commissioner.

Requirements

  • Bachelor's degree in Public or Business Administration, Political Science, or a closely related field.
  • Minimum of three years of administrative and support experience in a public agency or equivalent combination of education and experience.
  • Knowledge of office and administrative management practices and procedures.
  • Proficient in Microsoft Office and standard office equipment.
  • Strong communication skills, both oral and written.
  • Ability to manage multiple priorities and represent the Mayor effectively.

Nice-to-haves

  • Experience in public administration or government operations.
  • Familiarity with social media platforms for public communication.
