About the position

The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world, is seeking an Executive Assistant to support the National Officers in our Tysons (McLean), Virginia office. This role is crucial in providing essential administrative support, serving as the primary point of contact for both internal and external communications regarding the National Officers' schedules. The Executive Assistant will be responsible for a wide range of administrative tasks that facilitate the effective leadership of the National Officers. This includes assisting with special projects, designing and producing complex documents, reports, and presentations, as well as collecting and preparing information for meetings with staff and external parties. The Executive Assistant will ensure the smooth operation of the National Officers' daily schedules and prepare for events in a discreet, timely, and efficient manner. In addition to these responsibilities, the Executive Assistant will assist the National Officers in their governance and policy development roles, liaising with ALPA members and coordinating activities with various government and non-government agencies, airlines, associations, and Association offices. This position plays a vital role in supporting the President's Office and the successful implementation of the Association's strategy and goals. The Executive Assistant must be adaptable, providing expertise and support during transitions among National Officers, and must be able to manage both the big picture and the details of the officers' working lives. Success in this position requires strong interpersonal skills, the ability to work independently, and a keen attention to detail in a dynamic environment.

Responsibilities

  • Provide essential administrative support to the National Officers.
  • Serve as the primary point of contact for internal and external communications regarding the National Officers' schedules.
  • Assist with special projects and design complex documents, reports, and presentations.
  • Collect and prepare information for meetings with staff and outside parties.
  • Ensure the effective running of the National Officers' daily schedules and prepare for events in a timely manner.
  • Liaise with ALPA members and support activities associated with various agencies and associations.
  • Support the smooth functioning of the President's Office and the implementation of Association strategy and goals.
  • Adapt to new teams and expectations during National Officer transitions.

Requirements

  • High school diploma or equivalent combination of education and experience, with at least two years of college preferred.
  • Four (4) years of related experience required, with six (6) or more years in a high-level administrative position strongly preferred.
  • Solid interpersonal and communication skills, both oral and written, for effective interaction with all levels of contacts.
  • Comprehensive understanding of the role and purpose of the Association strongly preferred.
  • Keen attention to detail while working in a constantly changing environment.
  • Accurate proofreading skills required.
  • Self-starter with the ability to work independently and provide solutions to various issues.
  • Demonstrated ability to work as an integral part of a team.
  • Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and SharePoint.

Nice-to-haves

  • Experience in an aviation and/or advocacy organization is strongly preferred.
  • Ability to work a flexible schedule on short notice as needed.
