About the position

The Executive Assistant to the Pastor at Good Shepherd Baptist Church is responsible for providing comprehensive administrative support to the executive team. This role is essential for ensuring the smooth operation of the executive office, involving tasks such as calendar management, data entry, event planning, and communication with various stakeholders. The ideal candidate will be highly organized, detail-oriented, and possess strong communication skills to manage multiple tasks efficiently.

Responsibilities

  • Manage and maintain the executive's Outlook Calendar, scheduling appointments and meetings while prioritizing urgent requests.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
  • Proofread documents for accuracy and clarity before distribution.
  • Provide executive administrative support by preparing reports, presentations, and correspondence.
  • Serve as the front desk representative when necessary, greeting visitors with professionalism and courtesy.
  • Transcribe meeting notes and other documents promptly to ensure clear communication within the team.
  • Demonstrate excellent phone etiquette when handling incoming calls, directing them appropriately while taking messages when required.
  • Assist in event planning by coordinating logistics for meetings, conferences, and company events.

Requirements

  • Proven experience as an Executive Assistant or in other administrative roles.
  • Proficiency in Microsoft Outlook Calendar and other Microsoft Office applications.
  • Strong proofreading skills with an eye for detail.
  • Excellent organizational skills with the ability to multitask effectively under pressure.
  • Strong verbal and written communication skills are essential.
  • Experience in event planning is preferred but not required.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
